About Anthos|Home

Anthos|Home is an innovative new nonprofit that will transform the system by which New York City residents with housing subsidies locate and rent available housing.

 

Anthos|Home is modeled on Brilliant Corners in California, a successful housing clearinghouse that uses a flexible pool of funding to administer and quickly find apartments for tenants.

 

Anthos|Home will help to streamline the apartment search, approval, and move-in processes, and fill in gaps in the current NYC voucher housing market process. The organization will be a game- changer for New Yorkers who are unhoused or at risk of homelessness and for the public systems that serve them.

The Executive Assistant will provide high-level administrative support and assistance to the Chief Executive Officer (CEO) and as assigned, other members of the Board of Directors and Leadership Team. Reporting directly to the CEO, the Executive Assistant will provide executive and program support in a one-on-one working relationship. The Executive Assistant will also serve as a liaison to the Board of Directors and senior management teams; organize and coordinate outreach and external relations efforts and oversee special projects.

Responsibilities

The Executive Assistant is proactive, resourceful, and able to anticipate the needs of the CEO in a fast-paced environment, which as a start-up organization is extremely dynamic. Applicant’s best suited for this role enjoy problem solving, implementing new and untested initiatives, and are extremely flexible and adaptable.


KEY RESPONSIBILITIES INCLUDE:


  • Provide outstanding administrative and organizational support to internal and external parties with a high level of professionalism and reflects positively on the organization.

  • Manage sensitive matters with high confidentiality and discretion, especially decisions directly impacting the organization's larger operations.

  • Draft and prepare correspondence for internal announcements, meetings, and organizations that the executive is involved with.

  • Attend meetings with the CEO to take notes and handle follow-up and prepare in advance agendas and materials that might be needed for such meetings.

  • Lead administrative aspects of all Board meetings (at least 15 per year, with some in person) including preparation, documentation finalization and dissemination and minutes, utilizing relevant software (BoardEffect).

  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.

  • Sustain a daily calendar of meetings and events. Organize complex calendars and schedules; resolving any scheduling issues.

  • Manage the CEO's contacts.

  • Arrange travel and accommodations as needed.

  • Prepare expense reports.

  • Respond to requests by gathering and providing information as needed to the right parties.

  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.

  • Conserve the CEO's time by reading, researching, collecting, and analyzing information as needed, in advance.

  • Complete ad hoc projects as assigned.

Qualifications & Skills

The Executive Assistant will have a Bachelor's degree in a related field and/or 5+ years of related experience required in working in an executive assistant role supporting Senior Level executives.


ADDITIONAL SKILLS INCLUDE:


  • Advanced computer skills and demonstrated experience with office software and email applications, especially Microsoft Office (Outlook, Word, Excel, and PowerPoint).

  • Flexible hours as dictated by the needs of organization for projects and meetings.

  • Excellent verbal and written communication skills, including editing and proofreading.

  • Excellent planning and organizational skills; detail oriented.

  • Sense of ownership for one’s work.

  • Proactive in following up on details, anticipating issues and closing the loop on all requests.

  • Excellent time management skills; ability to effectively balance multiple tasks with competing priorities in a fast-paced environment.

  • Demonstrated ability to handle sensitive issues and maintain confidentiality.

  • Demonstrated ability to cultivate positive working relationships and gain the trust and respect of all levels of internal and external constituencies.

  • Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact.

  • Adept at problem solving, with ability to be flexible; may act as resource to other administrative staff.

  • Mature and strong inter-personal skills; able to interact professionally with peers and senior level management.

  • Proficiency in Salesforce and Slack is preferred.

Work Environment

    • Competitive Pay: $75,000 - $85,000 salary range (dependent on experience)

    • WFH/Hybrid work: 3 days required in the office each week; and there may be times where the Executive Assistant will be needed after hours and on weekends.
