The Executive Assistant is proactive, resourceful, and able to anticipate the needs of the CEO in a fast-paced environment, which as a start-up organization is extremely dynamic. Applicant’s best suited for this role enjoy problem solving, implementing new and untested initiatives, and are extremely flexible and adaptable.

KEY RESPONSIBILITIES INCLUDE:

Provide outstanding administrative and organizational support to internal and external parties with a high level of professionalism and reflects positively on the organization.
Manage sensitive matters with high confidentiality and discretion, especially decisions directly impacting the organization's larger operations.
Draft and prepare correspondence for internal announcements, meetings, and organizations that the executive is involved with.
Attend meetings with the CEO to take notes and handle follow-up and prepare in advance agendas and materials that might be needed for such meetings.
Lead administrative aspects of all Board meetings (at least 15 per year, with some in person) including preparation, documentation finalization and dissemination and minutes, utilizing relevant software (BoardEffect).
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
Sustain a daily calendar of meetings and events. Organize complex calendars and schedules; resolving any scheduling issues.
Manage the CEO's contacts.
Arrange travel and accommodations as needed.
Prepare expense reports.
Respond to requests by gathering and providing information as needed to the right parties.
Be responsive to emails/texts/phone calls, with contact outside normal business hours.
Conserve the CEO's time by reading, researching, collecting, and analyzing information as needed, in advance.
Complete ad hoc projects as assigned.
